The process for Medication Aide renewal has changed since December 2020. The state has been in the process of implementing a new system since mid August. They are currently working on processing all back log the system shutdown created.

We are now offering an online option to take the Medication Aide Renewal. Please see the information below on what you need to know before following the steps to register.


You can either walk in to pick up the questions (In-person) or take the test on the school’s website here (Online).
If you decide to make payment on the school’s website, there will be a $4 processing fee. Other payment methods are via Zelle transfer, paying with cash or card in person or sending money order. The training fee is $100, which is due at the point of registration. You will need to provide a copy of your social security, ID and previous med aide license to register.

What Next after the Exam?
It normally should take about 3-4 weeks before you get a response from the State. They are in the process of transitioning to a new system. Renewal notices are sent out via email from sender that says SMT Notice or by physical mail. Medication Aide’s should check their email and mailbox daily for their renewal notice. If gotten by email, login, click on APPLICATION, fill the application, print out your Medication Aide Renewal Voucher and send your money order to the state with the printed voucher.

 Effective August 1, 2021, a medication aide who applies to renew his/her permit must submit fingerprints and have his/her criminal background approved by HHSC prior to approval of the renewal. The criminal history check will be FBI-based and include nationwide criminal history information.

You will be notified of the fingerprinting requirement via email or mail. If you attempt to renew prior your renewal month, the renewal will not be processed until fingerprinting is completed. You MUST schedule an appointment with one of these centers to submit your finger prints(Use 11JH9Z as service code). A medication aide is responsible for paying the cost ($38.25)of the fingerprint-based criminal history check. 

HHSC will receive your fingerprints through a secure website within 24-48 business hours after submission. HHSC staff will review your criminal history and provide a criminal evaluation letter within 10 business days after receiving your results. Come with this letter to the school to register for the 7 Hrs CEU.  

If the medication aide remains active on the medication aide registry, fingerprinting is a one-time requirement and cost.

A medication aide who is active on the medication aide registry will be notified via mail of the fingerprinting requirement prior to his/her renewal month. If a medication aide attempts to renew prior to his/her renewal month, HHSC will notify the aide of the fingerprinting requirement. 

Course Steps & Instructions

Get all requirements ready. Government Issued ID, Social Security and your old Medication Aide license. You will need it for the next step when submitting your registration form.

Upload your completed registration form, Government Issued ID, Social Security, and your old Medication Aide license using our simple online portal. You have the option to complete this process in person by visiting our campus.

Create your student online account by registering a username and password. Do not register for any course until you fill out the required registration forms.

Pay your fee either in person or online. Please click the link below if you want to pay online. Paying online is recommended. 

You will receive a welcome enrollment email once your payment has been processed. The exam has 2 sections. You will have only 3 hours to complete each section.

Once you have completed and passed the exam, a letter of completion will be sent to your email. You should receive a response from the states in about 4 weeks. Please check your email closely for the subject line SMT NOTICE. You will receive login details. FIll the application, download the Medication Aide Renewal Voucher and hit the submit button and send the  Medication Aide Renewal Voucher with a $25 money order to the address stated on the voucher.
